  1. Splitting the Database:

    • One common approach is to split the Access database into a front-end and a back-end. The front-end is distributed to each user, and they connect to the shared back-end on a network.
  2. Shared Network Location:

    • Place the back-end of the database (the .accdb or .mdb file containing tables) on a shared network location that all users can access. Distribute the front-end (containing queries, forms, and reports) to each user's local machine. Users open the front-end, and it connects to the shared back-end on the network.
  3. SharePoint Integration:

    • Microsoft SharePoint can be used to host Access web apps and databases. Users access the database through a web browser. SharePoint provides a platform for sharing and collaboration, and it can handle concurrent usage. This is more applicable to Access web apps and Access databases created in SharePoint, rather than traditional desktop databases.
  4. Access Services:

    • For Access databases created in Access 2013 or later, you can use Access Services on SharePoint to host the database. Users can access the database using a web browser, and the data is stored on SharePoint.
  5. Cloud-Based Storage:

    • Place the back-end on a cloud-based storage service (such as OneDrive, Google Drive, or Dropbox) that supports simultaneous access by multiple users. Each user would have a copy of the front-end on their local machine, and the front-end would connect to the shared back-end in the cloud.
  6. Access Runtime:

    • If you don't want users to have full Access installed, you can use the Access Runtime version. This allows users to run Access databases without the need for a full Access license. Users still need access to the back-end database, either locally or on a shared network.
  7. VPN (Virtual Private Network):

    • If users are not on the same local network, you can set up a VPN to connect remote users to the network where the database resides. This allows them to access the shared back-end on the network.
  8. Terminal Services or Remote Desktop Services:

    • In situations where users are remote or on different networks, you can use terminal services (e.g., Remote Desktop Services in Windows Server environments) to host the Access application centrally. Users connect remotely to the server where Access is installed.

When sharing an Access database, it's important to consider issues related to concurrency, data integrity, and security. Access is suitable for small to medium-sized applications with relatively low levels of concurrent usage.
