How To Write Professional Email Messages

1.To

The primary recipient will come first

Cc – secondary recipient

Bcc – mention the email id of the person you don’t want others to see

  1. Subject title ( should be appropriate to the message you want to convey)

  1. Greeting (should be followed by a comma)

Dear Sir/ Madam,   ( if you don’t know whether the person is male or female)

Dear Sir,

Dear Madam,

Dear Mr Reddy, ( never use Mr. or Mrs With the first name)

Example the person is Raghav Reddy

Address the person as Dear Mr Reddy,

Do not address a lady as Mrs If you are not sure she is married. You can address her as Ms.

Dear Ms Reddy,

  1. Sentences to begin the email.

Subject – delay in submitting documents

I am writing to you regarding the submission of my certificates. First of all, I would like to thank you for the opportunity. I apologize for not submitting the certificates on Monday. I had to urgently go to my hometown to collect some important documents so I was not able to come to your office.

I will be there definitely on Thursday.

I appreciate your co-operation in this matter.

Group Discussion Tips and Rules to Succeed

 

For any group discussion, we have first divided into four parts. The first paragraph would be what the subject actually means, two – it’s good points, three – it’s bad points and finally would your personal opinion.

For example the topic is – Caste system in India

 

  1. Describe what the subject means – caste system in India is a system where people are divided into groups and subgroups depending on their karma, which is the work they have done and dharma, which is the religion.
  2. Mention the good points or strong points above the subject in the second paragraph – In the divisions and the subdivisions the caste system is divided in, the advantage is the people of the community stay united and support each other.
  3. Mention weak points if the subject has any. Most subjects will have a good point and a bad point or pros and cons as we call them. – The bad point about the caste system is that people are divided, it can create disunity, arguments and discrimination
  4. In conclusion, you can give your personal opinion – in my opinion, the caste system is not really a good system, India is a developing country, Indians are now getting recognized for their work and skills. Business in India is growing and so India is on a global map. The divisions like caste system should not be a hindering factor to India’s unity, integrity and development.
